This Privacy Policy describes how and when I, Nikki Swift Designs, collect, use, and share information when you purchase an item from me, contact me, or otherwise use my services. This policy does not apply to the practices of third parties that I do not own or control.
Information I Collect
When placing an order with Nikki Swift Designs, I will be provided with certain information, such as your name, email address, postal address, payment information, and the details of the product(s) that you’re ordering. Depending on the nature of your order, I may also require additional information. You will only be asked for information that I require for your order and the appropriate shipping.
If you sign up for marketing emails, I will also receive the name and email address you used to sign up.
I have taken steps to ensure that all digital and physical files are kept securely. All orders, invoices and emails are password protected and can only be accessed by Nikki Swift Designs.
Information Sharing and Disclosure
Your data is only shared in very limited circumstances when necessary to process an order. This may include sending design files to our printing partners, and sending shipping details to delivery companies. Third parties will only receive information to the extent necessary to perform the services required.
I may collect, use, retain, and share your information if I believe that it is reasonably necessary to: (a) respond to legal process or to government requests; (b) enforce my agreements, terms and policies; (c) prevent, investigate, and address fraud and other illegal activity, security, or technical issues; or (d) protect the rights, property, and safety of my customers, or others.
WooCommerce
My online shop is powered by WooCommerce with features provided by Jetpack. Information is collected during the checkout process while using my shop. While you visit this site, it will track:
- Products you’ve viewed: we’ll use this to, for example, show you products you’ve recently viewed
- Location, IP address and browser type: we’ll use this for purposes like estimating taxes and shipping
- Shipping address: we’ll ask you to enter this so we can, for instance, estimate shipping before you place an order, and send you the order!
We’ll also use cookies to keep track of basket contents while you’re browsing our site.
When you purchase from us, we’ll ask you to provide information including your name, billing address, shipping address, email address, phone number, credit card/payment details and optional account information like username and password. We’ll use this information for purposes, such as, to:
- Send you information about your account and order
- Respond to your requests, including refunds and complaints
- Process payments and prevent fraud
- Set up your account for our store
- Comply with any legal obligations we have, such as calculating taxes
- Improve our store offerings
- Send you marketing messages, if you choose to receive them
If you create an account, we will store your name, address, email and phone number, which will be used to populate the checkout for future orders.
We generally store information about you for as long as we need the information for the purposes for which we collect and use it, and we are not legally required to continue to keep it. For example, we will store order information for 3 years for tax and accounting purposes. This includes your name, email address and billing and shipping addresses.
We will also store comments or reviews, if you choose to leave them.

Payments are taken separately and securely by WooPayments or Paypal. When purchasing, the respective third party will only receive information required to process or support the payment. Please see the PayPal Privacy Policy for more details.
MailPoet Newsletter & Emails
If you have subscribed to our newsletter or if you are a member of our website (you can log in) or if you have purchased on our website, there is a good chance you will receive emails from me.
You may unsubscribe at any time.
I will only send you emails which you have signed up to receive, or which pertain to the services we provided to you.
To send you emails, I use the name and email address you provide. My website also logs the IP address you used when you signed up for the service to prevent abuse of the system.
This website can send emails through the MailPoet Sending Service. This service allows me to track opens and clicks on emails. I use this information to improve the content of our newsletters.
No identifiable information is otherwise tracked outside this website except for the email address.
Data Retention
I retain your personal information only for as long as necessary to provide you with my services. Data from completed orders made via the website is anonymised after 3 years. Data from pending, failed or cancelled orders is deleted after 1 week.
For wedding or event orders, your personal data will be deleted 1 year after the date of your event – this includes your order forms, contact details and any other information provided for your designs. While design files may be kept for future use or portfolio purposes, your details will be replaced with sample text. All emails will be deleted within 12 months of the wedding date. Invoices will be kept for 3 years as per tax regulations. However, I may also be required to retain this information to comply with my legal and regulatory obligations, to resolve disputes, and to enforce my agreements.
For users that register on our website (if any), the personal information they provide in their user profile will be stored. Users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information. If you request a password reset, your IP address will be included in the reset email.
Your Rights
You may request a copy of the personal information I hold about you, and I will change or delete your personal information on request. Requests can be made via email, and changes/deletions will happen immediately, unless exceptional circumstances mean that I am required to keep the data for legal reasons. If you wish to raise a concern about my use of your information (and without prejudice to any other rights you may have), you have the right to do so with your local data protection authority.
Samples and Promotion
Nikki Swift Designs reserves the right to use samples of completed orders for photographs, portfolio and marketing purposes. This includes photographing the finished work for use on our website and social media. Your contact details such as phone numbers and addresses will be hidden from all photographs. Additional details such as surnames, wedding dates and venues can also be removed on request. Samples of your stationery may also be shown in person to prospective clients, with contact details removed. If you would prefer that your designs are not shared, please let us know as soon as possible.
Cookies
The Nikki Swift Designs website may store information about you using cookies (files which are sent by us to your computer or other access device) to help us to analyse web traffic and improve your user experience. The cookies cannot identify you. If you want to delete any cookies that are already on your computer, please refer to the instructions for your file management software to locate the file or directory that stores cookies.
Information on deleting or controlling cookies is available at AboutCookies.org. Please note that by deleting cookies or disabling future cookies you may not be able to access certain areas or features of the website.
If you leave a comment on our site you may opt in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year.
